Fresha alternatives

Fresha Alternatives: A Flat-Fee AI Receptionist With No New-Client Fee

Fresha is cheap on subscription and charges you when the marketplace introduces a new client. Ringwell answers your phone, books the appointment, and takes a flat fee whoever is calling.

The subscription is never the number that makes people switch

Salon owners rarely go looking for a Fresha alternative because of the monthly fee. The software price is genuinely low — an Independent plan a shade under twenty dollars a month, Team plans billed per bookable team member for roughly fifteen. The number that starts the conversation is the other one on the statement: the Marketplace new client fee, charged once on every client who first discovers your salon through the Fresha marketplace and then books. On a $120 colour, an introduction fee in the region of a fifth of that ticket is real money, and it lands on the visit where your margin is already thinnest because you spent the longest on the consultation.

The detail that surprises people is in Fresha’s own help centre, and it is worth reading carefully rather than second-hand. The fee attaches to how the client discovered you, not to where they eventually clicked book. If someone views your Fresha marketplace profile first and then goes on to book through your own website or your social pages, Fresha treats them as a marketplace new client. In fairness, it is genuinely one-time — it does not apply to returning clients, it excludes tips, service charges and extras added at checkout, and there is both a minimum fee and a maximum cap so a large first appointment does not scale forever. But it is variable, it is hardest to forecast in the months you grow fastest, and it is the reason owners start pricing flat-fee tools.

What Fresha is, and who it genuinely suits

Fresha is a full salon and spa platform with a very large consumer marketplace attached. Fresha reports processing more than 30 million appointments a month across its network, and it operates in dozens of countries. On the software side you get the calendar, client records, online booking, payment processing, stock, reporting and marketing, plus paid add-ons for things like loyalty, insights and accounting connections. Plans run Independent for a solo, Team charged per bookable team member with a calendar column each, and Enterprise on custom rates for businesses over twenty team members. There is a 7-day trial, and the old permanently-free tier is gone.

It is also no longer true that Fresha ignores the phone. In May 2026 Fresha launched AI Concierge, an assistant that answers inbound calls and messages, books, reschedules and cancels appointments against your live Fresha calendar, answers common client questions, lets you choose a voice, and runs either around the clock or on set hours. It rolled out to English-speaking markets first with more languages promised. It is sold as a paid add-on on top of your subscription, priced per location, and we could not verify the current US figure from Fresha directly — ask them for the rate on your account rather than trusting a round-up. Ringwell is not going to tell you Fresha cannot answer a phone. It can.

Fresha genuinely suits salons that need demand more than they need admin: a new or under-booked shop, or one in a dense city where marketplace browsing is how people actually choose. It suits multi-location businesses that want payments, stock, reporting and staff management in one system. And it suits owners who are comfortable paying for acquisition on results rather than paying for advertising that may not convert — because that is what the new client fee is, and viewed as customer acquisition cost it often compares well with paid ads.

Where the model gets awkward for a busy local salon

The awkwardness is not the fee itself; it is what the fee is attached to. If your salon is already busy from Google, Instagram and fifteen years of word of mouth, the marketplace is not finding you customers you would have missed — but a client who happens to glance at your Fresha profile before booking is still treated as an introduction. The better your local reputation, the more the model can charge you for demand you generated yourself. That is a rational design for a marketplace and a poor fit for an established local salon, which is exactly why the two groups feel so differently about Fresha.

The second issue is that the total is made of moving parts: a per-team-member subscription, plus new client fees that vary with how many strangers walked in, plus card processing, plus per-location add-ons if you want loyalty, insights or AI Concierge. Every line is defensible on its own. Together they make a monthly number you cannot predict in advance, and small owners hate that more than they hate the amount. And there is a strategic point worth saying calmly: on a marketplace your profile sits in a list next to every competitor within a few miles, and the relationship with the client is partly the platform’s. Some owners consider that a fair trade for the volume. Some do not.

What Ringwell does instead

Answers your salon phone 24/7 and books during the call. With your salon’s name, while you are mid-foil or at the backwash. It offers two genuine openings from the live book and writes the appointment in — not a message, not a callback promise.

Charges a flat monthly fee with no commission, ever. $49, $99 or $199 depending on plan, AI minutes and texts included. A brand new client who rings on a Saturday costs you exactly the same as a regular of ten years: nothing extra.

Books by stylist and by real service duration. Cut and finish, root touch-up, full head of foils, balayage, toner, blow-dry, treatments — each with the time it actually takes, so a two-hour colour never lands in a forty-five minute gap and a request for a named stylist goes to that stylist.

Sends the confirmation and the reminder automatically. Text and email, included in your plan allowance, plus a text back to anyone whose call could not be completed. No-shows are the quiet tax on a salon and reminders are the cheapest fix there is.

Keeps the relationship yours. There is no marketplace, no profile beside your competitors, and no third party sitting between you and the client. Your existing phone number stays yours and simply forwards to Ringwell.

Costs the same in a busy month as a quiet one. Month to month, no per-call charges, no contract, and a 7-day free trial with no credit card. One number to budget for, whichever way the season goes.

When you should choose Fresha over Ringwell

If you need clients more than you need call handling, choose Fresha. This is the big one. A marketplace turning over tens of millions of appointments a month is genuine distribution, and a one-time introduction fee on a first visit is frequently cheaper per acquired client than running ads. Ringwell has no marketplace and never will introduce you to anyone — we convert calls you are already getting, which is worthless if the phone is not ringing yet.

If you want one system for everything, choose Fresha. Payments, stock, loyalty, reporting, multi-location management and staff records all live in one place. Ringwell does not process cards, hold product inventory, store colour formulas or run payroll, and it is not trying to.

If you are already on Fresha and the only gap is the phone, look hard at AI Concierge first. It is theirs, it books straight into the calendar your team already lives in, and one vendor is simpler than two. Ringwell books into its own calendar and there is no two-way sync with Fresha today, so running both means phone bookings sit on the Ringwell board. Where Ringwell wins that comparison is on pricing shape — a flat fee that includes the receptionist rather than a per-location add-on stacked on a per-member subscription, and no new client fee underneath either of them. Where Fresha wins is that it is one system.

And the plain caveat: Fresha is a large, mature platform operating in dozens of countries with years of engineering behind it. Ringwell is a young product with a narrow feature set, fewer integrations and a much smaller company behind it. If breadth and track record are what you are buying, that is not us.

Going live without unpicking anything

You do not have to leave Fresha to try this. The setup wizard takes your opening hours, service menu with real durations, prices and stylists; you then test the AI by voice in your browser until the greeting sounds like your salon. Forward your existing number to Ringwell and you are live, usually the same afternoon, with your number still yours. The trial is 7 days with no credit card, everything is month to month, and the only honest test is to watch how many phone bookings it takes in a fortnight against what those calls were doing before.

Frequently asked questions

How does Fresha’s new client fee actually work?

Fresha charges a one-time fee when someone who first discovered your business through the Fresha marketplace goes on to book. Per Fresha’s help centre it does not apply to returning clients, excludes tips and extras added at checkout, and has both a minimum fee and a maximum cap. The current rate for your region is published on Fresha’s pricing page.

Does the fee apply if they book on my own website?

According to Fresha’s own documentation, yes — if the client viewed your Fresha marketplace profile first and then booked through your website or social pages, they still count as a marketplace new client. That is the part most owners are surprised by, so it is worth reading Fresha’s billing help pages directly.

Does Ringwell take any commission?

No. Ringwell is a flat monthly subscription — $49, $99 or $199 — with AI minutes and texts included, no per-call charges and no commission on any booking, new client or regular.

Fresha has its own AI receptionist now — why use Ringwell?

If you are staying on Fresha, their AI Concierge books straight into the calendar you already use and that is a real advantage. Ringwell is worth comparing on cost shape: the receptionist is included in the $49, $99 or $199 plan rather than being a per-location add-on on top of a per-member subscription, and there is no new client fee underneath it. If you are leaving Fresha anyway, Ringwell answers the phone without you buying a whole salon platform.

Do phone bookings appear inside Fresha?

Not today. Ringwell books into its own built-in calendar and dispatch board, with no two-way sync to Fresha, so phone bookings live on the Ringwell board. It is the main trade-off of running both and worth settling during the free trial.
